Here’s how you can make one:
Open a new Google Sheets spreadsheet and name it something that fits your business, like ‘YourBusinessName Income & Expenses.’
Create a new tab labeled Income [Month/Year] and another for Expenses [Month/Year] (e.g., ‘Income March 2025’ and ‘Expenses March 2025).
In your Income sheet, label the first few rows with headers like: Date, Item, Income Type, Amount, Tax, Net Income, etc (you can add anything relevant to your business).
Within the Expenses sheet, set up similar headers (Date, Item, Expense Type, Amount, Tax, Net Expense, etc).
This ensures you have all the details needed to easily track both income and expenses!
Each time a transaction occurs, log the details in the relevant sheet, including the date, description, category (like ‘Product Sales’ or ‘Advertising’), and the amount.
Include the tax amount in the designated column and ensure the Net Income or Net Expense reflects the after-tax total (if applicable).
At the bottom of each sheet, use the =SUM formula to calculate your monthly income and expenses.
For example, to sum the Amount column, you'd enter something like =SUM(D2:D100) (if your data begins in row 2 and goes down to row 100).
To calculate your net income (or loss), simply subtract your total expenses from your total revenue with a formula similar to this:
=SUM(Income!D2:D100) - SUM(Expenses!D2:D100).
And you’ve created a simple income and expense spreadsheet! Now you can add optional features and visuals to customize your spreadsheet further.
Highlight the relevant cells and select ‘Insert > Drop down’ to add a drop-down list or ‘Insert > Tickbox’ to add checkboxes in appropriate columns.
To add a chart to your spreadsheet, select the data you want to visualize (e.g., total monthly income vs. expenses), then go to ‘Insert > Chart’.
Depending on your preference, customize the chart type (bar, pie, line), and adjust the range to ensure you include the correct data.
And don’t forget to regularly update the sheet to capture your finances in the moment!
