How to automate emails with Google Sheets and Sheetify Projects?

How to set up automated emails with Sheetify Projects?

To automate your team emails within Sheetify Projects, you must first check that you’re happy with the Sheetify Projects email and email notification templates. To do this:

Select the ‘Email Templates’ sheet at the bottom of the template.

View each pre-made email template and email notification template.

Edit the ‘Email Subject’ and ‘Email Body’ if you wish.

You can also add your own custom email templates or email notifications if you like.

Once you’ve customized these templates to suit your business, brand, projects, and tasks, you can seamlessly send these emails to your team when required!

How to send automatic emails? Video Guide

With Sheetify Projects, you can automatically email your team about your projects or tasks using the built-in email templates mentioned above.

To send an automatic project email template to your team: 

Within the ‘Projects’ sheet, locate the row with the relevant project name.

Ensure you have the correct team member’s name in the ‘Assignee’ column.

Scroll across to the right of your spreadsheet and tick the checkbox under the email icon header (the same row as the correct project name).

Select ‘Sheetify’ then ‘Send Team Email > Project Emails’ from the drop-down menu.

Choose the relevant email template (e.g, ‘Send Assignee Project Update Request’, ‘Send Team Project Update Request’, and more).

And that’s it! Sheetify Projects will then automatically send the email (to the email address you’ve inputted to Sheetify) to the team member in charge of that project.

These emails are helpful for automatically requesting project updates or project feedback from team members.

To send a task email template to your team: 

Head to the ‘Tasks’ sheet and find the relevant task you want to email your team member about.

Navigate across to the right side of your spreadsheet and tick the checkbox below the email icon header (on the same row as the correct task name).

Click ‘Sheetify’ then ‘Send Team Email > Task Emails’ from the drop-down menu.

Choose the relevant email template from the drop-down list (or select the custom email template you created).

And it’s as easy as that! 

As Sheetify Projects directly integrates with Gmail, you can view all sent project and task emails inside the ‘Sent’ folder of your connected Gmail account.

How to send automatic email notifications (Sheetify Projects)?

Additionally, you can send automatic email notifications to specific team members when specific triggers occur, like when a project status changes.

With Sheetify Projects, you can easily turn this feature on or off in one click:

Select ‘Sheetify’ then ‘Set Up Sheetify’ from the top menu.

Click ‘Enable Email Notifications’ or ‘Disable Email Notifications’ to turn them on or off.

Once you set this up, you don’t need to do anything! 

Thanks to the built-in Apps Script, Sheetify Projects automatically sends an email notification to the relevant team member once the action has been triggered.

You can also send automated email notifications when tasks or projects are overdue, go over budget, or exceed their planned effort hours.

This helps keep your team accountable and projects on track!

This function can also be turned on or off:

Click ‘Sheetify’ then ‘Set Up Sheetify’ within the top menu.

Select ‘Enable Overdue Notifications’ or ‘Disable Overdue Notifications’ to turn the feature on or off.
